How to run a presentation

The Presentation workspace is for the Facilitator or a delegate participant ('the 'Presenter') pushing information to participants. The workspace can be run in three modes:

  1. Slide show (Default)
    Upload (multiple) pdf, png, jpg/jpeg or mp4 and capture feedback via the fully featured discussion feedback channel
  2. Screen sharing
    Your or a Presenter's screen is shared side by side with the (optional) feedback channel
  3. Other presentation tool
    Communicate the details of a non-MeetingSphere tool for use in another browser window or tab

1 Slide show

A slide show presents one or several pdf, graphic or video files which are uploaded to the left-hand 'thumbnail frame'. The Facilitator (you) can enable a feedback channel (a discussion) which sits to the right of the slide. The discussion can occur on the presentation as a whole or be split into separate discussions 'per slide'. Discussion panels provide the full set of features familiar from the Discussion workspace.

Facilitators choose 'slide show' over other presentation modes for the following reasons

  • Feedback can be attributed easily to specific slides (separate discussion per slide)
  • Both the 'slide' and feedback are documented in the automatic Word report
  • Participants can peruse and comment independently in their own time

1.1 Upload of the presentation files (slides)

Facilitators or delegate Presenters upload the relevant files via the right-hand (on phones: bottom) 'thumbnail frame'. The upload button supports the following files which can be displayed as slides:

  • PDF - each page is displayed as a slide
  • Graphic files jpg/jpeg, png, svg
  • Videos mp4 (H.264 codec with mp3 or ACC audio)

To change the slide title which is displayed above the slide, click on the 'Edit' button behind it .

Note on video: Modern media formats allow for all sorts of coding, compression and wrapping one format into another. In practice this means that browsers may play one sort of mp4 video and not play another. Test what you have uploaded. If a video plays in your browser, it will almost certainly play in others. If it does not, convert your video with a video converter and try again.

1.2 Slide controls

The following commands of an individual Presenter (you or a delegate) will affect all participants:

Next slide; switches to the next slide and, if so, its discussion panel

Previous slide; switches to the previous slide and, if so, its discussion panel

The zoom menu provides options for scaling and rotating the slide

Click on a slide in the thumbnail frame to go to that slide directly.

For participants to peruse and, if so, discuss a presentation independently in their own time, delegate slide control to 'all participants' so that they can execute the above commands.

2. Screen sharing

Use screen sharing if you need to present dynamic content or let participant see 'over your shoulder' while you (or the delegate Presenter) manipulate an Excel sheet or a text or a presentation or whatever.

Screen sharing as a mode of the Presentation workspace differs from plain screen sharing via the toolbar by playing in the 'presentation frame' rather than taking up the whole browser window. This means that participants can provide feedback and discuss what they see via the Discussion feedback channel.

3. Other presentation tool

If you require something different from a slide show or screen sharing, presentation mode 'Other presentation solution' will allow you to share the details of that solution with your participants.

Typically such details will include a link which will open in a separate window of the browser.

If that other solution brings its own audio, mute that audio or the MeetingSphere voice conference.
